Medicaid EDI Claims Integration, Built Into Your Own Software
Your claims start in your own system, whether that's a pharmacy platform, a practice tool or a billing app. Getting them to Medicaid usually means exporting files, re-keying data into a portal, or paying a middleman per claim, and then waiting to find out what was rejected and why. We build direct Medicaid EDI connections that generate the claim files, send them to the state, and bring the acknowledgments and remittance back into the software your team already uses.

Medicaid claims submission for a Colorado pharmacy
We built and operate a production Laravel application that submits Medicaid claims for a Colorado pharmacy. To make that possible, Web Mavens enrolled as a Health First Colorado (Colorado Medicaid) EDI trading partner through the Edifecs trading partner enrollment portal and was approved. The application sends claim files and picks up the state's responses over SFTP on Colorado's managed file transfer (MFT) platform.
Builds 837P professional claims and NCPDP pharmacy claims from the data already in the application
Reads 999 and 277CA acknowledgments so staff can see which files and claims were accepted or rejected
Processes 835 remittance advice to match payments and adjustments back to the original claims
Moves files over SFTP on the state MFT platform with no manual uploads

From Trading Partner Enrollment to Live Claims
Scope the data and the program. We start with the claims you bill today, where the data lives in your system, and which state Medicaid program you submit to. We read that program's companion guides so the files match what the state actually expects, not just the generic standard.
Trading partner enrollment. State programs approve who may exchange files with them. In Colorado, that runs through the Edifecs trading partner enrollment portal, which we have already been through. We prepare the technical details and help you through enrollment for your organization, or discuss whether a submitter arrangement fits better.
Build the claims layer. Claim generation, validation, file transfer and response parsing live in their own module with clear boundaries, so a change in a state companion guide is a contained update rather than a rewrite.
Test before production. Each program has its own testing requirements before production files are accepted. We build against them, fix what the acknowledgments flag, and keep test and production data separate.
Go live on SFTP and monitor. Once approved, files move over SFTP on the state MFT platform. We add alerts for failed transfers, rejected files and claims that never received an acknowledgment, and hand over a runbook your team can own.
Colorado is live today. Other state Medicaid programs can be scoped: each has its own enrollment process, companion guides and connectivity, and we'll be upfront about what is new to us.
Direct Integration or Clearinghouse? An Honest Comparison
A clearinghouse is the right answer for a lot of organizations. A direct connection earns its keep in specific situations.
Consideration
Clearinghouse
Direct Medicaid integration
Many payers
One connection reaches many commercial and government payers
One connection per program, so it fits best when Medicaid is a large share of your claims
Time to start
Usually faster to set up
Requires trading partner enrollment and state testing first
Ongoing cost
Typically per-claim or subscription fees
A build cost up front, then your own hosting and maintenance
Control and visibility
Responses often arrive through the clearinghouse portal or its reports
Acknowledgments and remittance land directly in your own system and workflows
Maintenance
The clearinghouse keeps up with format and payer changes
You (or we) keep up with companion guide changes for each program
Data location
Claim data passes through another vendor
Claim data goes from your system to the state, with one less party handling PHI
Some teams do both: direct for Medicaid, a clearinghouse for everyone else. We'll help you decide during the free review, and we'll tell you if a clearinghouse is the better fit.
Who This Is For
Independent pharmacies that want Medicaid pharmacy claims to go out from their own system instead of a separate tool.
Clinics and provider groups submitting professional claims to Medicaid who are tired of exports and portal uploads.
DME, home health and behavioral health providers with Medicaid-heavy billing and workflows that off-the-shelf software handles poorly.
Billing companies that submit for several providers and want acknowledgments and remittance in one place.
Health software vendors adding Medicaid claims submission as a feature of their own product.
Teams with a half-built EDI project that need someone to finish, stabilise or take over an existing claims integration.
Claims Data Is PHI. We Treat It That Way.
Encryption in transit and at rest; SFTP keys and credentials in a managed vault, never in code
Role-based access to claims, responses and remittance data
Audit logs of every file sent and received, and who acted on it
No PHI in application logs, error trackers or staging data
A Business Associate Agreement signed before we touch PHI
Our engineering processes are covered by a SOC 2 Type II audit, and we're an Official Laravel Partner with an in-house team of about 14 engineers, US-based leadership in Austin, TX, full US-hours overlap and a free replacement guarantee. We've also built a HIPAA-compliant healthcare portal with automated insurance verification.
No. State Medicaid programs accept electronic claims directly from enrolled trading partners. A clearinghouse is often the simpler choice if you bill many payers. A direct connection makes sense when Medicaid is a large share of your claims or when you want claim data and responses inside your own system. We'll tell you honestly which fits during the free review.
A trading partner is an organization the state Medicaid program has approved to exchange electronic transactions with it, such as claims, remittance advice and acknowledgments. Approval normally involves an enrollment application, an agreement with the program, and testing before production files are accepted.
837P professional claims, NCPDP pharmacy claims, 835 electronic remittance advice, and 999 and 277CA acknowledgments.
Yes. Web Mavens is an approved Health First Colorado (Colorado Medicaid) EDI trading partner, enrolled through the Edifecs trading partner enrollment portal, and our production application exchanges files over SFTP on the state's managed file transfer (MFT) platform.
Colorado is the program we are live with today. Other state Medicaid programs have their own enrollment, companion guides and connectivity rules, and we can scope those with you. We will not pretend to have experience with a specific state until we do.
Yes. The claims layer can be built as a module inside your existing Laravel application, or as a separate service your current system sends claim data to.
It depends on the state program, the transactions you need, the shape of your existing data and the state's testing process. Every project is scoped after a free review, and you get a written estimate before work begins.
Yes, before any access to PHI.
